Position Summary

RSI is currently recruiting an Office and Outreach Coordinator for RSI’s corporate office in Oak Ridge, TN. The Office and Outreach Coordinator is responsible for providing comprehensive support primarily to RSI’s senior leadership team including, but not limited to, managing calendars, handling confidential communications, coordinating meetings, coordinating travel arrangements, maintaining files, preparing documents, supporting various operational tasks, and acting as a primary point of contract for internal and external stakeholders. Play a support role in connecting with the community and industry, building relationships, and promoting the company’s mission and services.

This position requires strong organizational skills, discretion, and the ability to anticipate needs and prioritize tasks effectively. The ideal candidate is a self-starter with keen attention to detail and should always be one step ahead of what needs to be done around the office. In addition, this role requires strong communication, interpersonal, and organizational skills to build relationships, plan/manage events, and represent the company.
 

Primary Responsibilities

  • Administrative Support: Providing comprehensive administrative support to RSI’s corporate office. Organizing lunch/refreshments for meetings and/or corporate functions. Ordering office supplies. Creating outgoing shipping labels and packaging. Coordinating/distributing incoming mail and packages.
  • Budget Management: Assisting with budget tracking and expense reporting for assigned tasks.
  • Communication Management: Answering phone calls, greeting visitors, managing email correspondence, and directing inquiries to appropriate personnel.
  • Document Preparation: Performing basic document control functions.
  • Meeting Coordination: Setting up meeting agendas, preparing materials, taking minutes, and following up on action items.
  • File Management: Maintaining organized electronic and physical filing systems, ensuring accurate recordkeeping.
  • Travel Arrangements: Arranging travel itineraries and booking flights, hotels, and transportation for business travel and events. Creating, submitting, and reconciling travel expense reports.
  • Data Entry: Inputting and updating information into databases and spreadsheets.
  • Event Planning: Managing calendar of events and activities needed to meet deadlines for national conferences, local organization events, and employee events. Coordinating event sponsorships and payments. Working with vendors to select, order, track, and ship promotion items.
  • Community Engagement: Establishing and maintaining strong relationships with community members, stakeholders, and partners. Identifying, planning, and organizing outreach events. Engaging with the community and representing the company at area events.
  • Confidentiality: Maintaining discretion when handling sensitive information and confidential matters.
 

Job Knowledge/Qualifications

  • Proficient in Microsoft Office Suite: Strong ability to use Word, Excel, PowerPoint, and Outlook
  • Excellent Communication Skills: Clear and concise verbal and written communication in English
  • Organizational Skills: Ability to prioritize tasks, manage multiple deadlines, and work independently, sometimes without direction
  • Attention to Detail: Ensure accuracy in all work performed
  • Strong Discretion and Confidentiality
  • Professionalism: Maintaining a positive and courteous demeanor in all interactions
  • Additional Qualifications:
    • Knowledge of social media and other basic marketing platforms
    • Excellent time management skills with a proven ability to meet deadlines
    • Reliable, positive attitude, responsive, adaptable as priorities change
    • Strong analytical and problem-solving skills
 

Education and Experience

  • Preferred experience of 2 years providing administrative, event planning, and related support
  • Experience using and maintaining SharePoint and Teams sites is highly desired

  • Some travel may be required.
