Position Summary

RSI is recruiting for a Document Production Specialist who is responsible for providing formatting and other support for technical documents as part of the Legacy Management Support (LMS) contract. Primary responsibilities include formatting documents and forms in Microsoft Word; creating Adobe PDF files and forms with metadata; performing quality control reviews; posting files to SharePoint, a site document repository, and Enterprise Content Manager; maintaining working file and folder structures; and troubleshooting and solving problems.

FLSA: Non-Exempt
Hiring Range: $33.65 to $37.50 per hour. (The anticipated starting salary is based on the posted minimum requirements for this position. The offered salary will be based upon the selected applicant’s education, training, and experience.)

 

This position is required to travel less than 5% of the time.

 

Essential Duties and Responsibilities

  • Process customer requests, set up file and folder structures.
  • Assign document and form numbers.
  • Act as liaison between customers, editors, and other staff.
  • Format documents, tables, and forms in Microsoft Word according to specifications
  • Create and apply style guides.
  • Generate and format table of contents.
  • Create indexes using concordances.
  • Enter metadata, set properties, and create bookmarks.
  • Convert documents to PDF files and embed fonts.
  • Create fillable PDF forms using Adobe Acrobat.
  • Maintain document version control, track changes, and formatting consistency.
  • Participate in quality control reviews.
  • Use SharePoint to track assignments and post documents and forms.
  • Manage and store all related files according to department and Content Manager specifications.
  • Send reminders for required reviews.
  • Coordinate with team members, team lead, and manager to ensure all assignments are completed on time.
  • Participate in continuous improvement to team processes and products.
  • Provide backup support to the Copy Center.
  • Other duties as assigned.

 

Required Education and Years of Relevant Experience

  • Bachelor’s degree in English, communications, technical communications, business or related technical discipline. Experience in lieu of education considered.
  • Minimum of 10 years of document production experience requiring skills in document formatting and/or form design. Specialized training in technical communication.

 

Licenses and Certifications

  • Valid Driver’s License

 

Required Skills and Abilities

  • Ability to troubleshoot and problem solve.
  • Strong grasp of grammar, spelling, and punctuation.
  • Advanced knowledge of Microsoft Word. Proficient with Microsoft Office suite and Adobe Acrobat Professional.
  • Can prioritize work, balance multiple projects, and meet tight deadlines.
  • Works cooperatively and constructively with teammates, clients, and leadership.
  • Works independently with minimal supervision.
  • Able to learn and apply new skills, information, processes, and software as needed.

Essential Physical Requirements

Sedentary: Work involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs may be defined as sedentary when walking and standing are required only occasionally, and all other sedentary criteria are met.
