RSI is currently recruiting an Administrative/Business Support Representative (BSR) for our client. The BSR requires good communications skills that exude a positive, customer-oriented attitude. The BSR is also responsible for document control and records management.

 

Responsibilities may include but are not limited to the following:

 

  • Provides support for the daily operations of the Transmission Service Center (TSC) staff to meet business needs as assigned by Transmission Service Manager (TSM).
  • Assist TSC staff with procurement and management of materials, goods, and services. Monitors and coordinate inventories, external contracts, service agreements, and procurement needs.
  • Research and analyze financial data and resolve discrepancies.
  • Keys POs and work orders in Maximo; PO and invoice approval being properly executed; Assist in the procurement of test equipment and ensure all invoices are submitted for payment.
  • Create and/or coordinate with support staff the PRs needed for the TSC.
  • Maintain supplies and materials for operations at TSC and ensure proper supply chain protocols are being followed.
  • Maintain FIA and CTS training records; assist in coordination of all instructor-led training.
  • Budget actuals are reviewed every month with charges reallocated as needed. Additionally, periodic reports will be reviewed to ensure proper allocation of charges.
  • Enter timesheets for TSC staff in eWorkplace.
  • Reconciles/verifies credit card statements in CONCUR and prepares them for TSM review and approval.
  • Enter AAM requests for badges/E-keys and provide fingerprinting as needed.
  • Maintain heavy equipment and vehicle inventory.
  • Assist with the TSC SharePoint.
  • Manage FR clothing accounts for TSC staff.
  • Support employee recognition programs by ensuring service certificates are distributed, gift cards for good catch/near miss/safety suggestions are procured, and acknowledgments sent for retirements, illnesses, and bereavements.
  • Work with Customer Relations to manage MA key distribution for local power companies and large industrial customers.
  • Coordinate safety meeting agenda and schedule for TSC. Serves as Secretary of local health and safety committee.
  • Track the submission and implementation of safety suggestions, good catches, and near misses on Safety Sharepoint; myCority system.

 

Qualifications

 

Knowledge, Skills and Abilities

 

  • Administrative and records management experience.
  • Highly organized, motivated, and good at preparing status reports.
  • Written and oral communications skills.
  • Proficiency in MS Word, Excel and Outlook.
  • Coordination and collaboration skills.
  • Good interpersonal skills.
